Best AI Receptionists for HVAC Companies in 2026
By Lucas Spyker, Founder, ERA Solutions · Updated
There is no single best AI receptionist for every HVAC company. A two-truck shop, a growing residential company, and a multi-location operator with a CSR team need different things. This guide sets out the criteria that matter for HVAC, then shortlists options by the type of company each fits.
Disclosure: ERA Solutions publishes this guide and is included in it. Vendor details come from each company’s own website as of October 2026 and are linked below. We did not test competitors’ products; treat this as a structured starting point for your own demos.
What matters for an HVAC company
Emergency triage
Can it tell “no cooling, elderly occupant, 90°F inside” from “schedule a tune-up,” using your rules?
Booking
Does it book into your actual schedule, and which system? Ask what it writes and what it cannot do.
After-hours and surge
Peak-season overflow and evening calls are where HVAC companies lose the most. Coverage hours and plan limits matter.
Who configures it
Self-serve means you write and maintain the script. Done-for-you means someone else does — at a higher price.
Total cost
Monthly fee, implementation, minutes or call limits, overage, and integration fees — over a full year including peak season.
Hand-off to people
How urgent calls reach your on-call tech or a human CSR, and how fast.
Options by type of HVAC company
| Option | Best fit | What the vendor publishes | Watch for |
|---|---|---|---|
| ERA Solutions (publisher) | Owner-operated and growing HVAC companies, especially in Texas, that want it built and managed for them | Done-for-you implementation; $1,750 + $850/mo After-Hours plan (other plans $1,000–$2,500 + $500–$1,100/mo) | Higher upfront cost than self-serve; field-service integrations confirmed per client |
| Sameday AI | HVAC companies on ServiceTitan, Jobber, or Housecall Pro wanting native booking | From $449/mo (500 minutes) and $789/mo (1,000 minutes) | Confirm overage terms and who maintains the call flow |
| Avoca AI | Larger HVAC operators with CSR teams on ServiceTitan | AI CSR, call coaching, scheduling; quote-based pricing | Pricing not published; built around call-center operations |
| Broccoli AI | Plumbing, HVAC, and electrical companies wanting AI agents tied to ServiceTitan or Housecall Pro | HVAC page covers no-heat, no-cool, tune-up, and replacement calls; demo-led | Pricing not published |
| Smith.ai | HVAC companies wanting live human agents available, or per-call billing | AI plans from free (25 calls) and $150/mo; human plans from $300/mo; ServiceTitan and Jobber integrations | Per-call costs in peak season; handoff terms vary by page |
| Rosie / Goodcall | Very small shops that want the lowest monthly cost and will configure it themselves | Rosie from $49/mo; Goodcall from $79/mo per agent | Limited trade-specific triage unless you build it; integrations often via Zapier |
A simple way to decide
Start with who will own the configuration. If you or an office manager have the time to write prompts, test edge cases, and maintain the script, a self-serve or platform product will be the most economical. If you do not, the cost of a done-for-you service is mostly the cost of that work.
Next, decide how much booking automation you need. If your dispatch board lives in ServiceTitan or Housecall Pro and you want the AI to write jobs directly to it, put vendors with documented native integrations at the top of your list and ask them to show you the booking on a test call. If capturing details and sending a clean summary to your dispatcher is enough, more options fit.
Finally, model a full year of cost. HVAC call volume in July is not call volume in April; per-minute or per-call pricing can look very different at peak.
Questions to ask every vendor
- Configure a test for my company: no-cool call at 9 p.m. with a vulnerable occupant. What happens?
- Show me a routine tune-up booking end to end.
- What does the integration write into my scheduling software — customer, job, notes, membership status?
- What is my cost in my busiest month at my call volume?
- Who updates the script when I change pricing, hours, or service area?
Frequently asked questions
What is the best AI receptionist for a small HVAC company?
It depends on whether you will configure it yourself. Self-serve tools are the cheapest; a done-for-you service like ERA costs more but includes building and managing the call flow.
Do AI receptionists integrate with ServiceTitan?
Several vendors document ServiceTitan integrations, including Sameday, Avoca, and Smith.ai. What the integration actually does varies, so ask for a live demonstration of booking.
How much does an AI receptionist cost for HVAC?
Published prices in this guide range from about $49/month for self-serve tools to $789/month for platform plans, with enterprise options quoted. ERA’s flagship is $1,750 one-time plus $850/month including implementation and management.
